The Challenge

How can we give customers easier access to artist information while reducing repetitive work for booking agents?
Discover

The Company

Prime Music is a booking agency offering live music and entertainment for festivals, corporate events, clubs, schools and private functions. The agency represents some of the biggest artists in Denmark and works with a wide range of events.
Discover

Shadowing

A booking agent was shadowed to understand how information was found, updated, and shared during the booking process.
Systems
Information is often checked across several different systems.
Questions
Booking agents often ask each other for information about artists.
Updates
Artist information and prices need to be updated across different systems.
Discover

Interviews

Interviews provided insight into how relevant stakeholders experience the current booking process.
Partner
“I would prefer a more controlled way of giving customers access to our price catalogues.“
Booking Agent
“A large part of our daily work involves answering questions about prices and availability.”
Customer
“It would make the process easier if I could find the information myself before reaching out.“
Discover

Observations

Observations provided insight into the types of customer inquiries and their impact on the daily operations. A total of 15 customer calls were observed, with a total duration of 192 minutes.
Availability
Customers contact the agency to check whether an artist is available.
Pricing
Customers contact the agency to ask about artist prices.
Duration
Customers contact the agency to ask how long an artist would perform.
Define

Problem Statement

The current booking process requires employees to spend a lot of time providing customers with artist information such as prices and availability, creating unnecessary work and slowing down the overall booking process.
